LRTA Responsibilities
The names given below are for those with lead responsibility for various LRTA duties. Members of the committee frequently assist each other in carrying out the tasks necessary. In particular, they comment on the contents of various reports and documents and stand in when the lead person is unavailable.
The committee is also very grateful to those members of the association not on the Committee who carry out work for the LRTA.

Chairman: Katie Leppard
- Overall management of the affairs of the Association
- Setting strategy and priorities for activities
- Negotiating and liaising with sponsors
- Chairing Executive Committee and Annual General meetings
- Representing the LRTA on the T&RA Board and Tennis Committee
- General liaison with other Associations and Clubs
- Producing Annual Chairman’s reports for the LRTA AGM and for the T&RA Annual Report
Secretary: Position Vacant
- Agreeing and circulating Agenda for and Minutes of Executive Committee meetings
- Agreeing Agenda, Committee Nomination papers for AGMs and Minutes of AGMs and passing them to the Website Editor for inclusion on the website and to the Mailer Coordinator for circulation
Treasurer: Sarah Sullivan
- Managing the finances of the Association
- Advising the Executive Committee on the use of funds
- Keeping an appropriate electronic record of all income and expenditure, ensuring the latter is properly authorised and backed up with receipts, invoices, etc. Ensuring proper allocation of all income and expenditure to agreed areas, including producing tournament accounts
- Reconciling bank statements with the internal accounts record
- Reconciling clothing sales records with the internal accounts record
- Liaising with the Honorary Auditor to allow him to produce formal Income/Expenditure reports and Balance Sheets in time for the AGM. With the Honorary Auditor, presenting the accounts to the AGM
- Reporting on the current financial situation at each Committee meeting
Honorary Auditor: Neil Paterson
- Reviews the financial records supplied by the Treasurer and ensures the probity of the financial affairs of the Association
- Provides advice on the way financial information is recorded
- Produces formal Income/Expenditure statements and Balance Sheets annually for presentation to the AGM
- Assists in the presentation of these at the AGM
Child Protection: Juliette Lambert
Membership Secretary: Viv Dawes
- Maintaining a database of all members including the details needed to:
keep the online Membership list up to date
produce mailing lists - printed labels and email - categorised as required
track subscription payments
- Sending out Welcome Packs to new members
- Providing an up to date version of the database to the Website Editor when an updated online Membership list is required
- Producing mailing lists as required
- Prompting members who do not pay their subscription by Standing Order to pay their subscriptions in a timely fashion
- Liaising with the T&RA re concessionary subscription rates for LRTA members
- Providing the information required for maintaining records on RTO for LRTA membership
Mailer Coordinator: Candida Nicholls
- Agreeing with the Executive Committee the contents for each physical mailer
- Agreeing the timely production of those contents
- Sourcing envelopes, stamps, etc
- Organising the “stuffing” of the envelopes (many thanks to the ladies at Hardwick who sometimes help with this task)
Fixtures Secretary: Linda Fairbrother
- Agrees with the Executive Committee a draft Fixture List for the coming season
- Agrees with the Clubs the venues and dates proposed
- Links in with the T&RA Fixtures representative to ensure the LRTA fixtures are submitted to them for inclusion in the T&RA Fixtures List
Tournament coordinator: Linda Fairbrother
- Responsible for the overall standard of tournament organisation

LRTA Clothing: Lucy Hutchinson
- Investigating potential items and agreeing them with the Executive committee
- Recommending sizes and quantities
- Arranging production, LRTA logo embroidery and delivery
- Agreeing distribution (and re-collection) for sales at tournaments and clubs
- Maintaining the clothing stock/sales spreadsheet and, with the Treasurer, reconciling this with the overall LRTA accounts records
- Providing information for the website clothing page and online ordering system

- Research for and production of a “lead” article
- Collection of tournament reports and photos and match results
- Production of a proposed draft for agreement with the Executive Committee

LRTA Club Representative coordinator:
- Ensuring all clubs with lady players have an LRTA representative
- Ensuring the website list is up to date with current representatives
- Briefing new LRTA representatives as to their "duties"
- Occasionally prompting them with lists of ladies at their clubs who are not members of the LRTA so they can encourage such ladies to join
- Encouraging them to organise ladies events at their clubs and to get their ladies to play in LRTA tournaments and matches
Bursary coordinator: Juliette Lambert
- Identifying together with Club professionals, LRTA club representatives and others potential candidates for bursaries and gathering evidence to support such candidature
- Recommending potential candidates to the LRTA Executive committee
- When candidates are agreed, sending appropriate invitations to the candidate and/or, if necessary, to their parents
- Once a bursary has been accepted, ensuring the professional at the club understands the requirements on them re producing progress report(s)
- Appointing an LRTA mentor for the candidate
- Informing the LRTA Membership secretary at the start and completion of the bursary so that she can take the necessary actions for recording the year of free LRTA membership
- Approving invoices submitted by professionals (once appropriate reports have been received) for bursary lessons and passing them to LRTA Treasurer for payment

- At T&RA sub-committee meetings, responsible for commenting on Tennis matters in general and for putting forward the views of the LRTA in particular
- Responsible for reporting back to the LRTA Executive Committee on relevant items discussed/decisions made at the sub-committee meetings

- Ensuring membership of the LRTA is recorded appropriately for individual players on RTO
- Producing handicap lists as required by tournament organisers
- Producing monthly updated ladies Rankings list for the website

- Keeping the website Home/News page and Rankings pages up to date
- Adding Tournament reports and photos as appropriate
- Recording match results as appropriate
- Checking contributions to ensure they meet required standards before publishing them
- Archiving website entries in a timely fashion
- Adding new pages covering new areas of interest as required/requested
- Investigating and updating areas of general interest (eg Rolls of Honour) as required
